Free AI Tools for Small Contractors: A No-Cost Starter Kit

Four AI tools with free plans that can take a real chore off a contractor's plate this week, with what each one is good for and a prompt to try.

You don't need to spend a dime to find out if AI is worth your time. Four of the better-known AI tools have free plans, and each one can take a real chore off your plate this week. Here's the starter kit I'd hand a small trade business owner, what each tool is good for, and one thing to try with it.

One rule before you start: free plans have limits, and prices change. Every tool below links to its own pricing page so you can check for yourself.

1. ChatGPT: your estimate and scope checker

ChatGPT is OpenAI's AI chat. OpenAI says the free version is available to everyone, with limits on things like uploads, image creation and voice chats (ChatGPT pricing).

Use it for: reading a scope of work and pointing out what's vague before it turns into a fight.

Try this: Paste in a scope with the customer's name and address taken out, then ask:

What's unclear or missing in this scope of work that could cause a dispute with the customer? List each item and suggest clearer wording.

2. Claude: follow-up texts and payment reminders

Claude is Anthropic's AI chat. The Free plan is $0, works on web, desktop and mobile, and has usage limits that reset every 5 hours and every week. If you outgrow it, Pro is $17 a month billed yearly ($200 up front) or $20 billed monthly (Claude pricing).

Use it for: writing the follow-up you keep putting off, in a tone that sounds like you.

Try this: Give it the basics of one quote nobody answered, nothing private, and ask:

Write a short, friendly text following up on a quote I sent 5 days ago for a fence repair. Keep it under 300 characters, no pressure, and end with a simple yes/no question.

3. Google Gemini: the missed-call auto-reply

Gemini is Google's AI assistant. Google lists a Free plan in the US, with paid Google AI plans that add higher usage limits and more features (Google AI plans).

Use it for: writing the text that goes out when you can't pick up. Gemini writes it. It doesn't send texts for you. You save it as your phone's auto-reply.

Try this:

Write a short, friendly text message that goes out when I miss a call. I run a small roofing company. Tell the caller I'm on a job, I'll call back today, and they can text me a photo of the problem in the meantime.

4. Fireflies: notes from the site walk

Fireflies has a phone app that records in-person conversations and turns them into a transcript, an AI summary and action items (Fireflies mobile app). Its pricing page lists a Free plan alongside its paid plans (Fireflies pricing).

Use it for: catching everything the customer asked for on an estimate visit, so nothing gets missed in the quote.

Try this: Ask the customer if you can record, then hit record on the walkthrough. Read the summary against your notes before you price the job. More on that in Film the walkthrough, let AI write the list.

Ground rules for all four

  • Keep private info out. Strip names, addresses and phone numbers before you paste anything in.
  • Read before you send. AI writes fast and sometimes wrong. You're still the one who signs the quote.
  • Start with one. Pick the chore that bugs you most and try one tool on it for a week.
  • Check the price page first. Free plans and prices change. Click through before you rely on one.

That's the whole kit. Four tools, zero dollars to start. Go book some work.
